How to set up the perfect PopUp Shop Booth

I have done about 6 local popup booth events over the last few years and each and every single one of them has been a learning lesson!

Whether you are doing a craft show booth, a farmer’s market or selling handmade goods at your church – setting up your space the first few times can feel pretty intimidating. Learn from my mistakes and get some of my tips to make the entire process easy, seamless and productive!

A successful pop-up shop whether you are doing an inside craft show or an outside tent event requires a blend of logistical planning and a bit of your own creative flair. To help you transition from a “packed car” of stuff to a “polished storefront” of beautiful products, here are my best practices to mastering the perfect booth setup!!

Popup Event Must-do Checklist

Nothing ruins the market vibe faster than realizing you’ve forgotten your card reader or a way to hang your signage. There are so many details to remember beyond just packing up your goods, so be sure to use this checklist to ensure your “market prep bag” is ready.

And I always create a “To Buy” list and a “To Do” list on my phone for each of the markets I attend. That helps me to remember what I need to buy in order to be prepared and what I then need to do and pack to take.

This list looks a little daunting, but it’s an investment in ease AND your business. Most of these items can be collapsed and stored away, only to be pulled out for your event. I love making a purchase just once and reusing for years to come.

  • Fully charged credit card reader (I use the free Square reader, it’s so easy to setup an account, too)
  • Portable power bank
  • Cell phone (to use for purchases, photos and a backup hotspot)
  • Business cards (I design my own cards and print with Vista Print. They also have templates.)
  • Your Business sign (I designed and printed mine at Fedex – Kinkos, mounted poster with grommets added)
  • Price lists (see below for how I make mine look cute)
  • Clear Acrylic page holders (great for easy signs/price lists, etc)
  • Clipboard with a physical sign-up sheet for your email list
  • Spare pricing stickers + baker’s twine
  • Packaging supplies (bags, tissue paper, stickers)
  • Small tool kit (scissors, zip ties, safety pins, scotch tape, sharpie, pen)
  • Water bottle + snacks
  • Collapsible Plastic Storage crates (These are so helpful to tuck under your table and hold on the misc. small items you’ve brought)
  • Portable chair (It’s nice to have a chance to sit here and there)
  • Collapsible Wagon (If you have lots of product, it’s handy to have a way to cart it from your car to your booth)
  • If you are planning to sell via cash/coin, have a small zippered bag with $1, $5, and $10 bills for making change.
  • If an outdoor event, a 10×10 tent and weights (We get extreme winds here, so I use 40 lbs on each tent leg)
  • Collapsible Display Bookshelves (I have two tall and two shorter shelves)
  • 4′ Folding Tables (I use two of them)
  • Tablecloth to cover tables (I put two 4′ tables together in the back of my tent, so I need a nice long tablecloth to cover them. I like this neutral one because it doesn’t take away from what I’m selling sitting on top.)
  • Backdrop fabric (I always drape a sheer curtain in my tent to add color. I own different 5 colors to mix it up based on the season. I have this brand and this brand.)

Create cool pricing lists

There is nothing more frustrating for a customer to walk into a booth and not know how much things cost. I will actually leave sometimes rather than ask how much items are, so clearly labeling prices is very important.

For some items that are uniform in size (example my plants below) you can create a cute price list that explains all small “x” are this cost, all medium “x” are this cost, etc… At one quick glance people can figure out your prices for large quantities of items without having to label things individually.

This is also a great place to place a website address, a QR code (I made a blog post all about the plants I am selling, so people could click and learn how to take care of them) and any other information that might be key to your particular business.

Another fun way to sell large quantities of the same product, is making even just a cute hand sign that labels what the items are and a group price. So for example, these Dried Flower fire starters I made below are three for $8. Laying them out like this, allows for each customer to select which three they would like most and then put them in a cute paper bag.

Create cool product tags

And using Canva.com I made these simple but so adorable plant tags for each pot. They share the plant name, their VERY basic needs, my Instagram handle, a blog page about overall plant care and the back then shows a QR code to a specific blog post with that plant’s particular needs.

I simply cut these out and glued them to little wooden stakes that went in each plant.

Indoor vs. Outdoor Popup Events

I’ve done both types of markets and there are many pros and cons to participating in indoor and outdoor markets.

Indoor market events

Indoor craft shows and markets are lovely because they can run seamlessly rain or shine! Typically they are temperature controlled meaning you have AC or heat for the season appropriate which also is a huge perk.

As I have many smaller home decor type items that I sell, not having to deal with wind blowing my products around is a major plus to doing inside events.

I can setup my booth and know that more or less, it will stay looking just like this.

I did find at this particular event, the wi-fi wasn’t very strong and I had to actually leave my booth space each time a customer wanted to checkout since I took credit card only using my Square reader.

Outdoor market events

If you could somehow predict the weather to be cool, but sunny and minimal to no wind – I would hands down do an outside market every time. However, no one can predict the weather so nearly every single outdoor market I’ve done has been VERY wild weather.

Spring and Fall we have sunshine, high winds and rain all within short amounts of time and lucky me – that has been the case for every single one of my outdoor craft shows. Very anxiety inducing, to be quite frank as the products and tents bluster around the entire time.

If your pop-up is outdoors, your tent is your showcase castle! It is the space you have designated to show off not only your products, but also in a moments glance show passerby what your business and brand is all about.

In addition to your tent being your temporary “storefront”, it also houses all your goods to sell and I am speaking from extreme knowledge here, it can very quickly become a giant kite if the wind picks up.

Let’s talk about the actual tent safety tips first and then making it look pretty!

Market Tent Safety tips

Most markets require at least 20–40 lbs of weight per leg for safety. I have seen MANY a tent lift off the ground and I even saw a tent fly up a bit due to improper weights. This is a hassle of a step, but if you will be outdoors – this is very important.

Here is the tent I own and use. It is ABC CANOPY Easy Pop Up Canopy Tent. It’s 10×10 and has walls you can add onto it, plus it comes in a nice little bag with wheels. So it’s very handy to just wheel the tent from the car to my booth location.

  1. Professional Leg Weights: These are heavy plates that wrap directly around the tent poles. They are sleek and low-profile. These are what I use. They come with a strap that keeps them all together when not in use and although my tent has been hit with some extreme winds, it’s never once lifted up. (FYI, I use a set of 4 = 40lbs per leg of my tent.)
  2. Sandbags: Affordable and effective. For a cleaner look, use decorative fabric covers or heavy-duty canvas bags that match your brand colors. (Can I just say, sand bags are an option, but I don’t believe they are enough – again from personal experience of seeing other’s tents fly around with sand bags only.)
  3. Water Weights: These are refillable PVC containers. They are great for saving space in your car during the drive, as you can fill them up at the venue.
  4. Avoid Stakes: Many venues are on asphalt or concrete parking lot these days, so never rely on stakes alone. Always opt for heavy, downward weight.

Market Tents Design & Style Tips

You only have about three seconds to grab a passerby’s attention. Use these design ideas to make them stop and want to investigate your shop a little bit closer.

  • Think Vertically: Don’t just lay items flat on a table. Use crates, collapsable shelving I have two tall and two shorter shelves. And collapsable is a great option for storage), or pegboards to bring products up to eye level. This creates visual interest and makes your booth feel like a boutique rather than a boring garage sale.

  • Create a Focal Point: Choose one “hero” product or a stunning piece of signage to act as your anchor. This gives the eye a place to land. I purchased a small round collapsible table and place my featured items a little more front and center here. I also got a lovely little gold star tablecloth for this table to really make it feel special.

  • Lighting is Everything: Even in daylight, a dark tent can feel cave-like. Battery-operated LED clip lights or fairy lights can highlight your best sellers and make the space feel warm and inviting.
  • Keep it Cohesive: Use a consistent color palette. If your brand is “organic and earthy,” use wood tones and linen. If it’s “modern and bold,” go with high-contrast colors or bright acrylics. My colors are muted greens and blues with pops of muted corals or peach. So I make sure my tablecloths, signage, backdrop, business cards and even pricing all fit within that color palette. You would be surprised how few popup events color coordinate their spaces… and I hate to say it, but you can tell immediately those have taken the time to care and those who haven’t.

  • Pretty Product Displays: You should get creative with how you display your products for sale. I love putting things in baskets, like my Flower Seed Pops.

And when I have a big grouping of potted plants, I do things like put some on cake stands or a stack of books to add height variety.

  • Add appropriate branding: Make sure to have a chalkboard or a hanging sign with your company name/logo.

In Canva.com I created a sign for my business and had Fedex/Kinkos laminate it and add grommets to the corners. Now each market I go to, I can easily hang my sign from inside my tent area.

I also wanted my booth to pop visually with my brand colors when someone walks by, so I either use sheer curtains in various colors or as shown below, I created a backdrop for my sign with cut fabric tied to a rope. This was so easy to make and can be customized to any colors you like.

After the event was over, I simply folded the ribbons and hung them in my closet for storage for next time!

Market event vibes are important

Also, I ALWAYS stand just inside my tent, have a big smile and engage with those walking by. I am always surprised how many vendors at popup events sit behind a table at the back edge of their booth and just wait on customers to enter. In my opinion, I am part of my brand and business, so I need to show up polished, happy and just as “on point” as my booth, tent and products!

Your booth setup should tell a story before you even say hello. By focusing on tent safety tips, your to-do list and a clear aesthetic vibe, you’ll spend less time stressing over the logistics and more time connecting with your new customers.
